The relevant data protection regulations, in particular the EU General Data Protection Regulation (GDPR), oblige us to handle user data properly and for the intended purpose. 

This privacy policy explains the processing of personal data in relation to the website https://streetmind.eu (the “Streetmind Website”). The Streetmind Website provides information on the Streetmind research project, which is a citizen science project aimed to better understand how environmental factors like urbanicity or climate change contribute to mental health. Below you will find information on which personal data is processed, why and how we process your data, and your rights related to our processing of your personal data.

3. Definition and types of personal data processed

3.1 Definition of Personal data and processing

By processing personal data we mean any information that enables or facilitates the identification of a person. This includes the following processing steps: collecting, recording, organizing, storing, updating, modifying, retrieving, consulting, using, providing by means of forwarding, distribution, or any other form of posting, bringing together, linking together, and to protect, erase or destroy your personal data.

3.2 Types of Personal data

  • Visitors to the Streetmind Website (e.g., information, whcih are collected via cookies - see paragraph on cookies)
  • Persons who sign up for the Streetmind Newsletter or contact us via the contact form (e.g., email address)
  • Participants taking part in the Streetmind Survey and Streetmind App (e.g., age, sex)

4. How is your personal data processed?

4.1 Processing of personal data: Visitors to the Website

The Streetmind website processes personal data of visitors through use of cookies. You find a description of Cookies down below. 

Personal data obtained through- or generated by our website, electronic newsletters, commercial e-mails, or related technologies:

  • 1) IP number,
  • 2) your surfing behavior on the website, such as data about the first visit, previous visit and current visit, the pages viewed and the way in which the website is navigated, and
  • 3) whether you open a newsletter or commercial e-mail and on which parts you click.

The aim of processing is to operate the Streetmind Website, ensuring its proper functioning and security while providing information about the Streetmind platform to the public and stakeholders. 

By accepting cookies in your browser settings, your are consenting to their placement on your device as required by the law. 

Our legitimate interest in maintaining the Streetmind Website, in accordance with GDPR article 6(1) letter f, is the legal basis for processing the information collected through cookies. 

4.1.1 Legal basis of the processing

We, as data controller, may only process personal data if this can be based on one of the limited enumerated legal grounds in the General Data Protection Regulation (GDPR). The legal bases on which we rely are:

  • Permission: If we have requested your permission to process your personal data and you have given this permission, then you also have the right to withdraw this consent.
  • Legal obligation: We only provide personal data to supervisors of investigative authorities if this is legally required. We will take measures in such cases that are reasonably necessary to ensure that your personal data is protected as good as possible.
  • Justified interest: We may also process personal data if we have a legitimate interest and do not therefore disproportionately infringe your privacy. For example, we use your contact information to invite you for seminars and events.
4.1.2 What is a cookie?

A “cookie” is a text file containing small amounts of information which downloads to your personal computer or mobile device when you visit a website. Our website only uses unmodified session cookies. This is a privacy-ethical way to build a website without constant user surveillance.   • Authentication cookies, for the duration of a session.

4.2 Processing of personal data: Newsletter or the Contact form 

The following personal information is processed of persons signing up to the newsletter or contacting us via the contact form. 

  • 1) Newsletter: name, email address, home country
  • 2) Contact form: Name, Institution (voluntary), Phone (voluntary), email address, content of your message

The aim of the processing is to deliver information regarding our activities solely to individuals who have expressly requested to receive it. 

The legal basis for this processing is consent of the individuals concerned, as outlined in GDPR article 6(1) letter a. 

4.3 Processing of personal data: Streetmind Survey and Streetmind App 

We process the following personal data of participants of the Streetmind Project and other persons that download and use the Streetmind app:

  • 1) Contact information, such as name, email address, phone number, and address.
  • 2) Content data, such as video, text, and photographs the user adds to the app.
  • 3) Location data, such as information on the geographical position of a device or person

The purpose of the processing is to be able to collect research data for the Streetmind Project.

5. Your rights regarding your personal data

Every person can exercise certain rights with respect to his or her personal data on the basis of the law. This gives you the right to inspect, rectify and delete personal data. You can also object to the use of your data or request that the use be restricted. In certain cases, you can request your data and take it to another party. 5.1 Information and Access

It is within your rights to request information and access to the personal data we hold and process about you. 

5.2 Rectification

You have the right to request the correction or completion of any personal data that is inaccurate or incomplete.

5.3 Erasure

You can request the erasure of your personal data in specific circumstances.

5.4 Restriction

Under certain circumstances, you have the right to request the limitation of processing your personal data.

You have the right to request the restriction of the processing of your personal data. The right to restriction of processing exists in the following cases:

  • If you dispute the accuracy of your personal data stored by us, we usually need time to verify this. For the duration of the review, you have the right to request the restriction of the processing of your personal data.
  • If the processing of your personal data happened/is happening unlawfully, you can request the restriction of data processing instead of deletion.
  • If we no longer need your personal data, but you need it to exercise, defend or assert legal claims, you have the right to request restriction of the processing of your personal data instead of erasure.
  • If you have lodged an objection pursuant to Art. 21 (1) GDPR, a balancing of your and our interests must be carried out. As long as it has not yet been determined whose interests prevail, you have the right to request the restriction of the processing of your personal data.

If you have restricted the processing of your personal data, this data may – apart from being stored – only be processed with your consent or for the assertion, exercise or defense of legal claims or for the protection of the rights of another natural or legal person or for reasons of an important public interest of the European Union or a Member State.

You have the right to object to the processing of your personal data in certain cases.

5.6 Data Portability

In certain circumstances, you have the right to receive your personal data in a structured, commonly used, and machine-readable format and to transfer those data to another controller.

6. Storage of your personal data

Data Processing in Third Countries 

If we process data in a third country (i.e. outside the European Union (EU), the European Economic Area (EEA)) or the processing takes place in the context of the use of third party services or disclosure or transfer of data to other persons, bodies or companies, this will only take place in accordance with the legal requirements. The data will be stored on local servers at the Institute of Medical Psychology and Medical Sociology at the University Hospital Schleswig-Holstein. In addition, the data is stored on servers at the Berlin Institute of Health at the Charité (University Medicine Berlin), as a collaboration partner within the EU project. Subject to express consent or transfer required by contract or law, we process or have processed the data only in third countries with a recognized level of data protection. This happens on the basis of special guarantees, such as a contractual obligation through so-called standard protection clauses of the EU Commission or if certifications or binding internal data protection regulations justify the processing (Article 44 to 49 GDPR, information page of the EU Commission: https://ec.europa.eu/info/law/law-topic/data-protection/international-dimensiondata-protection_en).

The StreetMind website uses a range of services, such as email sending or map functions. These are provided by different server providers, which are all listed below: 

7.1 Webhosting/Websites

7.2 Email Sending of automated website-based internal emails

7.3 Citizen Science Application

SPOTTERON: A Citizen Science Web Application integrated into the website enables the display of spatial data and community content from the Citizen Science App toolkit of the project. Processed data may include, in particular, IP addresses and location data of users, which are not collected without their consent (usually within the context of user registration and user contributions). 7.4 OpenStreetMap 

We integrate the maps of the service "OpenStreetMap" in apps and websites, which are offered by the OpenStreetMap Foundation (OSMF) based on the Open Data Commons Open Database License (ODbL). OpenStreetMap utilizes user- and visitor data exclusively to display maps, map functions, and temporarily store selected settings. The processed data can include, in particular, IP addresses and location data of users, which are not collected without their consent (usually within the context of the settings of the accessing device).
